M3F Vendor Policies

The Downtown Medford Association reserves the right to deny any
vendor that violates the guidelines for our events. We request that all
vendors refrain from selling any items that may include drug
paraphernalia, alcohol without prior approval, or any other item that
would violate City, state, or federal rules and codes, as well as the
DMA Code of Conduct.
● Booth spaces will be assigned by DMA, no trading booth spaces.
● Water hookups are not available, and power is limited but generally available upon request.
● No parking is allowed in the vendor area, bike lanes, or no-parking zones without permission.
● Vendors may set up between the hours of 2:00 pm and 3:45 pm. And must be ready to vend no later than 4:00 pm.
● Vendors may use canopies and must have canopy weights, no exceptions. For safety reasons, in the event of wind gusts or other unpredictable weather. Weights are available online and at sporting goods stores. Canopies must be flame-retardant.
● Vogel Plaza can be very windy at times due to traffic and or weather conditions. Please be sure to secure all products and booth set-up materials. The Downtown Medford Association is not liable for any damaged items or injury to vendors during this event.
● You may begin dismantling your booth at the conclusion of the event, no earlier than 8:00 pm, unless directed by DMA staff or volunteers.
● The DMA reserves the right to cancel the event for any reason, and a full refund will be issued or a credit for a future date.
● Insurance is HIGHLY encouraged for vendors and their products. The Downtown Medford Association is not liable for any damage to your person, products, or booth.
● Absolutely no refunds will be given, unless specified above.
● Vendors are responsible for watching their booths at all times. DMA staff and volunteers are not able to assist vendors for breaks of any kind. If accommodations are needed,  please contact DMA staff before the event.

INDEMITY AGREEMENT: I do hereby agree, as an individual or authorized representative on behalf of my entity, to indemnify, defend, and hold harmless the Downtown Medford Association, its board of directors, employees, volunteers, and et al, for any and all claims and associated
expenses for losses, including but not limited to personal injury or damage arising out of the event held on City of Medford property, rented by DMA, or in public right-of-way within the City of Medford as specified.

AUTHORIZATION FOR PHOTOGRAPHY: I give permission to DMA and event promoters and/or officials of the City of Medford or DMA, the right to use any videos and photographs
taken at the event for legitimate purposes.
